</table>How this email signature maker works
Every field you type is rendered into an email-safe HTML block in real time. The templates are built with tables and inline styles rather than modern CSS, because that is the only layout method every major email client still renders the same way — Outlook on Windows in particular ignores most of what a browser supports.
You get two copy buttons. "Copy signature" places the formatted block on your clipboard so you can paste it directly into the signature editor in Gmail or Outlook and keep the styling. "Copy HTML code" gives you the raw markup for tools that ask you to paste source, such as HubSpot sequences, Zoho Mail or a company-wide signature manager.
Four layouts cover the realistic use cases: Classic with an accent bar for everyday professional use, Modern with a two-column split when you have several contact methods, Minimal when you write to people who reply from a phone all day, and Bold with a coloured name block that stands out in a recruiter's inbox.
What makes a professional email signature template work
A signature is not a business card — it is a footer that must stay readable after five replies, on a phone, in dark mode, and sometimes with images blocked entirely. That rules out most of what people put in them.
- Keep it to four lines. Name and role, company or status, contact details, one link.
- Skip images and logos. Blocked by default in many clients and shown as broken boxes in others.
- Use one accent colour. Two or more reads as marketing rather than correspondence.
- Link, do not paste. A hyperlinked "LinkedIn" is cleaner than a 60-character URL that wraps onto two lines on mobile.
- Use a real phone format. The templates make the number tappable with a tel: link, which matters when a recruiter calls from their phone.
Job seeker email signatures that get replies
If you are between roles, do not leave the title line blank and do not write "Unemployed". Name the role you are targeting: "Data Analyst — open to roles in Manchester or remote". Recruiters forward emails internally, and that single line tells the next person what you do before they open your attachment.
The link you include matters as much as the words. A LinkedIn profile that matches your CV builds trust; one that contradicts it raises questions. Before you send the next application email, run your CV through the free ATS checker so the attachment lives up to the signature — and if you want the document itself to look as tidy as the footer, the free resume builder produces a matching, parser-friendly PDF in minutes. Pair it with a tailored letter from our cover letter generator and the whole application reads as one deliberate package.
Frequently asked questions
How do I add this email signature to Gmail?
Click 'Copy signature', then open Gmail → Settings → See all settings → General → Signature → Create new, and paste with Ctrl+V (Cmd+V on Mac). Gmail keeps the formatting because the signature is copied as rich HTML, not plain text. Save changes at the bottom of the page.
Is there a free email signature template with no download?
Yes. Nothing is downloaded or installed here — you fill in the form, the preview updates live, and you copy the result straight to your clipboard. There is no account, no watermark and no email required.
What should a job seeker email signature include?
Your name, the role you are targeting (or your current title), a phone number, your email, and a LinkedIn link. Add a short tagline such as 'Open to Product Marketing roles — London / remote'. Leave out home addresses, quotes and images, which clutter replies and get stripped by many clients.
Will the signature work in Outlook?
It will. The templates use table-based layout with inline styles, which is what Outlook's rendering engine handles reliably. In Outlook go to File → Options → Mail → Signatures, create a new signature and paste it in.
Should I include a photo or logo in my signature?
Usually not when you are job hunting. Images are blocked by default in many clients, they inflate reply chains, and a broken image placeholder looks worse than no image. A coloured accent bar, as used in these templates, gives you visual identity with none of the risk.
How long should an email signature be?
Four lines or fewer. Name and title, company or status, one or two contact methods, and a single link. Anything longer competes with the message itself and pushes the reply thread down the screen on mobile.
